Background

Emirates Nature is a UAE environmental non-governmental charity, established in 2001 under the Honorary Founder and President H.H. Sheikh Hamdan bin Zayed Al Nahyan as a legacy of the late Sheikh Zayed’s vision for the United Arab Emirates. HH Sheikh Hamdan bin Zayed Al Nahyan is the Ruler’s representative in the Al Dhafra Region and Chairman of Environmental Agency – Abu Dhabi (EAD) Board of Directors.

We operate with offices in Abu Dhabi, Dubai and Fujairah and are governed by a local board of directors.

Emirates Nature works in association with WWF, one of the world’s largest and most respected independent conservation organizations. Emirates Nature-WWF has been active in the UAE for two decades and is renowned for its commitment to biodiversity conservation, habitat protection, sustainable development, and community engagement. Some of our flagship projects include marine conservation initiatives to protect coral reefs and marine species, wildlife conservation programs focusing on endangered species such as Arabian oryx and sea turtles, habitat restoration projects in critical ecosystems, and sustainable development initiatives aimed at mitigating climate change impacts and promoting eco-friendly practices across various sectors.

Job Summary

The organization is seeking a detail-oriented Internship - Legal Administration and Data Entry to join our team. The successful candidate will coordinate with relevant unit members to collect and submit all required data onto the national register of ministries and handle the submission of non-objection certificate requests, permits, and approvals through local authorities' service platforms such as Tamm. This role involves submitting requests in line with regulatory requirements, providing regular reports to ministries and local authorities as needed, and leading the process of updating agreement statuses, organizing legal documents, and scheduling meetings. Proficiency in English and Arabic, along with excellent communication skills, is essential.

Key Responsibilities

1. Data Compilation and Submission:

  • Collaborate with internal team members to gather required data.
  • Compile and submit data for reporting or for requesting approvals, NOCs, or permits from relevant ministries or local authorities.
  • Utilize service platforms such as Tamm to process submissions efficiently.
  • Ensure all submissions are accurate, complete, and comply with relevant regulatory requirements and guidelines.

2. Reporting:

  • Generate and provide regular reports to ministries and local authorities upon request.
  • Assist in preparing statistical and analytical reports to support organizational objectives.

3. Communication:

  • Correspond with ministries and local authorities regarding data submissions and request statuses.
  • Communicate effectively with internal and external stakeholders in both English and Arabic when needed.
  • Schedule and conduct weekly meetings with Legal Counsel to provide updates on progress and status.
    • Prepare weekly meeting agendas outlining discussion points.
    • Prepare weekly progress reports summarizing completed and ongoing tasks.
    • Document meeting minutes, capturing discussions, decisions, and action items.
  • Schedule meetings with internal and external stakeholders as needed.
    • Prepare meeting agendas outlining discussion points.

4. Compliance and Data Integrity:

  • Adhere to data privacy and confidentiality policies.
  • Maintain data integrity through regular verification and updates.
  • Stay informed about updates to regulations and guidelines related to data submission and reporting.

5. Legal Coordination and Meeting Management:

  • Lead the process of updating the statuses of agreements using Monday.com boards or Excel sheets.
  • Save and organize agreements (including internal versions, external versions, and execution versions) within their respective online folders such as Box.
  • Share the saved agreements with the relevant team members when needed.
  • Update KYC statuses on Monday.com, Excel or via email after Legal Counsel review.
  • Conduct minutes of meetings for every legal meeting and share them with internal or external stakeholders.

Experience and Skills

1. Work Experience:

  • Ideally 1 year of experience in a related field, such as legal coordination, contract management, or compliance.

2. Language Skills:

  • Proficiency in both English and Arabic (written and spoken) with the ability to understand and interpret legal documents in both languages.

3. Technical Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with project management tools like monday.com.
  • Knowledge of online document storage systems such as Box.
  • Familiarity with data entry software and databases is a plus.

Required Qualifications

Bachelor’s degree in Law (LLB)
